“Supplier contacted” tells the next maintenance coordinator almost nothing. They still need to know which explanation the OEM considered, why it remains unconfirmed and who is obtaining the missing evidence.
Leave a short asset note that preserves that reasoning, with a link to the reviewed source. The next coordinator should be able to continue the investigation without repeating the call.
Preserve the limit of the conclusion
In this fictional document review, DEMO-ASSET-01 displayed “communication unavailable.” The OEM compares a shift note with a configuration register. The timing matters:
The draft summary says “configuration ruled out.” The OEM corrects it: the finding concerns this proposed change only.
The useful asset entry is brief:
OEM reviewed the reported message. CFG-07 records the proposed change after the report; that explanation lacks support on this timeline. EVT-07 cannot yet be aligned. Cause open; see REF-DEMO-07.
The linked note assigns Lina Park to obtain the existing event export with its time zone and comparable clock basis by September 8, 2026, 12:00 JST. Tomas Reed, the OEM reviewer, will review it.
The service-call worksheet retains the Japanese correction, source passage and full reference note. Its fictional approval permits reference to this event and these records; it provides no repair instructions or execution authority. Review the note when the missing export arrives or its supporting source changes.
Choose between a recap and a retained conversation
Use the existing work-order note when a short written outcome supplies enough evidence. Add source recording only when the original qualifications or language need to remain available.

Before commissioning a connector, give a second coordinator the asset entry. Can they identify the unsupported explanation, missing evidence and follow-up owner? If not, revise the note while the source discussion is still available.
