A meeting assistant can release 26.67 staff-hours a month while cash spending rises by $400. That is the result of the fictional case below. The purchase creates usable value only if the team can redeploy the time and keep the record correct.

What changes in this example?

Fictional meeting effort: preparation stays 120 staff-minutes; clarification 160 to 100; follow-up 200 to 140; added review 0 to 40. Total 480 to 400 releases 80 minutes. Twenty meetings at 40 dollars per hour and 100% redeployment produce 1066.67 dollars capacity value; recurring cost 400 leaves 666.67 economic value. Cash effect remains minus 400 with no avoided spending.
Invented inputs: 20 meetings/month, $40/hour, full reuse of released time, $300 software and $100 purchased support. Meeting duration is unchanged.

The 40 added review minutes are already in the assisted total. Do not deduct their labor cost again. Ten minutes involving three people counts as 30 staff-minutes; keep activity categories from overlapping.

At $1,200 assumed initial setup/training value, the modeled monthly economic value gives about 1.8 months of capacity-equivalent recovery. That is not cash payback.

Which assumption can reverse the purchase?

Under the chart’s inputs, economic break-even requires 30 net staff-minutes released per meeting. If only half the released time is usable, the threshold becomes 60 minutes. The 80-minute example then produces $133.33 monthly economic value after recurring costs.

Discount only positive released capacity. If the workflow adds work, charge those extra staff-hours at the full labor rate. An avoided external bill needs its own evidence, and must not duplicate a time benefit already counted.

Check the decision, owner, deadline and unresolved points as well as effort. If a material error remains, that meeting has not produced an acceptable outcome. If checking takes longer than assumed, update the assisted total.

Compare with capabilities already purchased

Copilot in Teams supports meeting catch-up; post-meeting use depends on a transcript. Notion AI Meeting Notes is included in Business/Enterprise and eligible mobile subscriptions, but capture differs: desktop includes system audio; browser/mobile use microphone input.
