At the trade show, the presenter is audible but the visitor’s question never reaches the microphone. The translation service receives only half the exchange.
Plan the complete listener route before choosing an app: source microphone, language feed and listening device. Then rehearse it from the visitor’s position while a neighboring demo is running.

Check that visitors can watch the component while following captions or headphone audio. Provide a staffed alternative for people without a suitable phone or earphones.
Give the technical question somewhere to go
During Q&A, the moderator repeats an off-microphone question into the agreed input. The visitor confirms its meaning before the specialist answers.
In a fictional demonstration, a visitor asks whether the inspection system has been evaluated with their packaging material. The demo evidence does not establish that. Record the specific unanswered question and requested material-compatibility discussion; “interested in inspection” loses the reason for following up.
Before discussing proprietary material, the audio owner stops or disconnects public capture and checks from a listener device that new speech no longer appears or plays. Continue in a separately controlled session or approved private notes. Keep contact details and the agreed recipient/channel out of the public Q&A record.
Rehearse one complete visit
The 15-minute runbook allocates two minutes to joining, six to the approved demo, five to moderated questions and two to explaining follow-up. These are planning allowances, not measured setup times.
Run that sequence with the actual microphone route, listener phone and language. Try a quiet question, lost connectivity and a visitor without headphones. Assign the person who pauses, repeats or supplies the approved printed specification when a check fails.
