Bilingual Supplier Quality Calls: Agree the Evidence Package

VoicePing Team 3 min read

The supplier’s report arrives on time but uses the wrong part revision and omits the sample population. Next week’s quality call will repeat the same questions unless today’s request defines a reviewable package.

Agree what the supplier will deliver, its review basis, owner and full deadline. Root cause and defect disposition can remain open while that document commitment becomes precise.

Three linked fictional records remain distinct: the meeting action agrees a package and deadline; the investigation still has an unconfirmed cause; the quality record still has an open disposition. Evidence references connect them.
Receiving the package does not by itself close the investigation or authorize a disposition.

Make the supplier’s acceptance usable

In this fictional rejected-receipt review, 12 of 200 inspected samples of BRKT-42 Rev C, lot LOT-2609-A, have surface marks. That describes the inspected samples; it does not establish the whole lot’s defect rate without the sampling method and population.

The supplier says parts may have moved inside the packaging. A draft translation changes that into “movement caused the marks.” Restore the qualification before recording the action: possible movement; cause not identified.

Mei Chen then accepts this package:

The English/Japanese worksheet retains the correction, supplier acceptance and source passage QUALITY-DEMO-09, 04:10–05:35. Ask the supplier to restate the package before the call ends. Assign a clarification owner for any second deliverable that nobody has accepted.

Keep the evidence in the process that owns it

An 8D investigation progresses through problem definition, verified causes and corrective action. A translated discussion can supply requests and evidence references; it cannot complete those investigative steps. ASQ’s 8D guide .

If existing controlled forms work, improve the request inside that process. Octave Reliance, formerly ETQ Reliance, offers configurable quality applications. Arena Quality emphasizes product-linked quality records and selective supplier access. Compare your workflow, revision history, roles and sign-off using the same example package. Reliance , Arena .

VoicePing Meeting Logs can retain the bilingual exchange for review. An authorized person still enters the accepted evidence into the quality system; no native Reliance or Arena write connection is established here. Meeting Logs manual .

The buyer’s quality reviewer checks the delivered package against the agreed contents. Return missing sample IDs or revision mismatches to Mei, and record her accepted correction deadline beside the action.
